This policy explains how Lee Whitwell, trading through Mini Professors Weymouth and WOW Thames Valley West, collects, uses and protects personal information. I only collect information I reasonably need to run my business, deliver services, respond to enquiries and provide information you have requested.

Where you book through a WOW World Group website, booking system or programme owned platform, the relevant WOW World Group privacy policy may also apply.

Who I am

I am Lee Whitwell. I run Mini Professors Weymouth and WOW Thames Valley West and provide children’s classes, workshops, holiday clubs, parties, school and nursery programmes, events and related services.

I also provide information about WOW World Group business opportunities, franchise opportunities and Class Leader roles. For information I collect directly through my own websites, landing pages, forms and communications, I am the Data Controller.

What information I may collect

  • Your name, email address, telephone number and postal address
  • Your child’s name, age or date of birth
  • Information about classes, workshops or events you have booked
  • Information you provide when making an enquiry
  • Your interests, preferences and marketing choices
  • Information provided through a form, survey, quiz or download
  • Information relating to a business opportunity or Class Leader enquiry
  • Notes from conversations or discovery calls
  • Booking, payment and communication history
  • Campaign or advert information showing how you arrived at a page
  • Technical information such as browser type, device, approximate location and IP address where permitted

If you provide information about a child, I expect you to have the authority to provide it.

Children’s information

I provide services directly to children, so some personal information may be necessary. This can include a child’s name, age or date of birth, class attended, relevant health or allergy information, accessibility requirements and additional needs.

This information is used only where reasonably necessary to deliver the service safely and appropriately. I do not use children’s personal information for targeted advertising.

Health, allergy and additional needs information

Parents and carers may choose to tell me about allergies, medical conditions, disabilities, neurodiversity, accessibility requirements or other information that may help me support a child safely. This is used only for the reason it was provided and shared only with people who genuinely need it to provide the service safely.

Depending on the circumstances, I may use information because it is necessary to provide a requested service, you have consented, I must meet a legal obligation, I have a legitimate business interest that does not override your rights, or it is needed to protect someone in an emergency. You can withdraw consent at any time.

Marketing

I may ask whether you would like relevant information, offers, opportunities or updates about Mini Professors, Baby Sensory, Toddler Sense, Reading Fairy, classes, events, franchise opportunities, business ownership, Class Leader roles and WOW World Group opportunities.

Where consent is required, I will ask for it. You can unsubscribe at any time using an email unsubscribe link or by contacting me. This will not stop essential communications about a booking, payment, service or enquiry.

Facebook, Instagram and Meta advertising

Where you have been clearly informed and there is an appropriate legal basis, I may use limited information such as an email address or telephone number to create or manage advertising audiences on Meta. This can help show relevant advertising, exclude existing customers or leads, measure performance and identify similar audiences where permitted.

I do not sell personal information to Meta and will not use your information this way if you have objected to direct marketing or there is no appropriate legal basis.

Meta Pixel and Conversions API

Where you have made the appropriate cookie or tracking choice, pages may use Meta Pixel and Meta Conversions API to understand actions such as page visits, form submissions, downloads, leads and call bookings. Where required, these technologies will not activate until appropriate consent is given.

Systeme.io

I use Systeme.io for some landing pages, enquiry forms, mailing lists, email campaigns, downloads, quizzes, surveys, automated email sequences, contact management, business opportunity enquiries and Class Leader enquiries. Information submitted through these pages may be stored and processed within Systeme.io on my behalf.

Quizzes, surveys, downloads and resources

If you provide details to access a quiz, survey, guide, checklist, information pack, webinar or free resource, I will explain why they are collected. Completing one does not automatically mean you have agreed to all future marketing.

Business opportunity and recruitment enquiries

For a franchise, business ownership or Class Leader enquiry, I may collect your contact details, location, programmes of interest, experience, availability, relevant skills, application information, conversation notes and progress through the enquiry process. I use this information to respond and manage your enquiry or application.

Where information comes from

Most information comes directly from you when you book, complete a form, join a mailing list, register, download a resource, complete a quiz, book a call, contact me or enquire about an opportunity. I may also receive necessary information from a WOW World Group booking system and limited information from advertising or analytics platforms.

Who I may share information with

  • WOW World Group and relevant programme providers
  • Systeme.io and other website, form and contact management providers
  • Booking, payment and email providers
  • Meta and analytics providers where advertising tools are lawfully used
  • Accountants, bookkeepers, professional advisers and insurance providers
  • IT and software providers

I share information only where there is a legitimate reason. Some organisations are Data Processors on my behalf, while others may be independent or joint Data Controllers. I do not sell personal information.

International data processing

Some software and technology providers may process information outside the UK. Where information is transferred internationally, appropriate safeguards should be used in accordance with UK data protection law.

Cookies

Pages may use essential cookies needed for forms and core functions, analytics cookies that help me understand usage, and advertising or marketing cookies that measure and improve advertising. Where required, you will be given a choice before non essential cookies or advertising technologies activate.

How long I keep information

I keep information only for as long as reasonably needed. Accounting and transaction information may be retained for up to six years where required. Booking information may be retained for insurance, safeguarding or legal purposes. Marketing information may be kept until you unsubscribe, withdraw consent or object. Recruitment enquiries are reviewed and deleted when no longer needed. Health and additional needs information is not kept longer than reasonably necessary.

If you unsubscribe, I may retain limited information on a suppression list so you are not contacted again.

Keeping information secure

I take reasonable steps to protect personal information, including password protection, access controls, reputable cloud based systems, secure providers and limiting access to people who genuinely need it. If a personal data breach occurs, I will assess it and follow legal reporting requirements.

Your rights

Depending on the circumstances, you may ask what information I hold, request a copy, correct inaccuracies, request deletion, restrict or object to processing, object to direct marketing, withdraw consent, request transfer of certain information, or complain about how your information has been handled.

You may also complain to the Information Commissioner’s Office.

WOW World Group

Where information is collected through a website, booking system or platform controlled by WOW World Group, its own privacy policy may also apply. My policy applies to information I collect and control directly through my business activities, websites, landing pages, forms and marketing systems.

Changes to this policy

I may update this policy as systems, services or legal requirements change. The latest version will always show the date it was last updated.
